Description of Duties: This positon supports the Executive Director, Associate Dean of Aviation Programs, and the Flight Management Team by providing administrative support. The incumbent is responsible for preforming various clerical and administrative functions to ensure the efficient flow of business operations.

Primary Duties:
• Create, maintain contracts and purchase orders
• Assist in drafting and maintaining administrative policies and procedures
• Create and maintain Deputy Director calendar
• Prepare presentations and take minutes for administrative and FEB meetings
• Communicate with Flight Standards District Offices for Flight Operations
• Maintain and process paperwork and records for employee Drug Screening program
• Process all department worker's compensation claims and follow-up
• Department Administrator for Banner Employee Directory
• Maintain approved employee time off spreadsheet for management team
• Coordinate department events, including flight student orientation, company picnics, and award banquets
• Supervise company credit card use and maintain Petty Cash
• Assist with insurance matters, acting as liaison between insurance company underwriters and claims mangers, FITA, and Campus Risk Office
• Maintain minutes of weekly Ops meeting
• Maintain Endorsement Folder for Flight Instructors
• Schedule Training and Conference Rooms as requested

Secondary Duties:
• Coordinate with HR for FITA employees as needed
• Act as a MLB badge sponsor – New Hires and Renewals
• Maintain Exit Interview checklist to include collection of badges, keys, advise MLB, Telecom, Lock shop and FITA management; schedule Exit Interview
• Provide support services to committees, including scheduling meeting rooms and preparing any needed materials
• Assist with maintaining Flight Operations logs and records
• Provide Notary services
• Act as back-up reconciler for P-Cards
• Act as a back-up for Pilot Administrative Services as needed
• Send company releases out as required (upcoming events or campus or otherwise)
• Send Birthday, Get Well cards as needed, order flowers for employees as needed

Education Requirements:
• Associate's degree or 7-10 years of progressive office experience

Position Title:               Administrative Assistant – Maintenance Department

Department:                 Aircraft Maintenance

Location:                      FITA MLB

Responsible to:             Director of Maintenance

Level:                           Hourly – Full Time

 

Function of Position:  Maintain all pertinent documentation for the administration of duties in the Aircraft Maintenance Department. 

 

Minimum Qualifications, Knowledge, Skills, Abilities:

  • Education/Special Training/Experience Required:

-  Post High School Education

-  Highly Motivated – Self Starter – Strong Work Ethic

-  Knowledge of Aircraft Maintenance Operations helpful

-  Knowledge of TotalFBO (TFBO) software package helpful

 

  • Physical Demands:

-  Light to moderate lifting

 

  • Special Skills Required:

-  Excellent computer skills required

-  Strong working knowledge of Microsoft Word and Microsoft Excel

-  Ability to perform basic mathematical calculations using a calculator

-  Ability to follow basic instructions

 

  • Principal Duties and Responsibilities:

-  Assure that all appropriate A.D.'s, Service Bulletins, and Service Letters have been complied with and

    signed off in the logbooks

-  Use TFBO to enter Shop Orders, parts usage and labor hours for mechanics performance

-  Transfer completed Shop Orders to TFBO, generate logbook entries (using MS Word), have mechanics sign

    logbook entries, place in appropriate logbook and update times

-  File all completed shop orders and daily parts usage sheets

-  Distribute parts to the mechanics as requested and enter part request onto the Daily Parts Order

-  Prepare oil samples for mailing

-  Answer telephone

-  Other duties as assigned

 

  • Productivity/Performance

-  Perform a minimum of eighty (80) hours per two week period

-  Complete all work required by the Director of Maintenance

-  Minimal
